01Information we collect
Account information includes your name, email, password hash, and account preferences. Business information can include business names, categories, descriptions, logos, contact details, and public review links. Review-flow information can include selected experience highlights, a star rating, an optional customer name, written feedback, AI-generated drafts, and interaction events. AI Assistant questions and answers may also be stored.
02Orders and payment information
For physical products, we collect the recipient name, phone number, delivery address, product, quantity, design, and order details. We keep payment references, amounts, currency, and payment status. Payments are handled by connected payment providers; ReputyAI does not collect full payment-card numbers or card security codes through its own forms.
03How we use information
We use information to create accounts and review links, personalise QR materials, generate requested AI drafts, display business analytics, process purchases, fulfil orders, provide support, prevent abuse, and maintain service security. We also use necessary records for accounting, legal obligations, and resolving disputes.
04AI processing and customer control
Relevant business context, selected highlights, ratings, and feedback may be sent to our configured AI provider, including OpenAI, to produce the requested response. Avoid submitting confidential, medical, financial, identity, or other sensitive information. AI can make mistakes. Customers can edit a draft and decide whether to copy it to Google; generating a draft does not automatically publish a review.
05Who can see review information
The business whose review page you use and authorised account administrators can access review-flow data and related analytics. Feedback submitted directly to a business, including by email, is handled by that business under its own practices. Posting a review on Google is a separate action subject to Google’s privacy terms.
06Service providers and external connections
We use hosting, AI, payment, email, QR-generation, and delivery-related providers as needed to operate the service. A QR-generation service may receive the destination URL used in a QR code. Loading external fonts, QR images, or linked services can disclose ordinary connection information to those providers. We do not sell personal information or use submitted review text to create public advertising profiles.
07Cookies, preferences, and security signals
We use session cookies to support sign-in, security, and form validation, and browser storage for interface preferences. Application abuse controls use hashed network identifiers and may hash browser information. Hosting and third-party services may separately process IP addresses and access logs. Blocking essential cookies may prevent account features from working.
08Storage, security, and international processing
Passwords are hashed, and physical-order delivery details are encrypted in the application database. Access controls and other safeguards help protect information, but no system is completely secure. Providers may process information in countries outside your location. We use information only for the purposes described here and subject to applicable requirements.
09Retention and your choices
We retain information while needed for the service, support, security, orders, accounting, and legal obligations. Records are not automatically deleted simply because you stop using the website. You can request access, correction, deletion, or other rights available under applicable law, and withdraw consent where processing relies on consent. Some records may need to be retained for legal obligations, disputes, or security; backup copies may remain until replaced through normal backup cycles.
10Children, updates, and privacy requests
Business accounts and purchases are intended for adults or authorised business representatives. Do not submit personal information about children through public review forms. Contact us if you believe information was submitted inappropriately. We may update this policy as our services change and will update the date on this page.
